Production Planning, Shelf Life and Quality Control

1. The Controlling Idea

A bar producing house items is running a food production operation with the documentation obligations that come with it.

2. Why This Matters in the Room

Bar prep is held to the same standard as kitchen prep at inspection, and it is frequently the part nobody prepared for.

Unlabeled containers behind the bar are the single most common finding, and they are also a quality problem — because a container with no date is a container of unknown age, and nobody can make a decision about it.

And the quality half of this module is the three-minute open check, which appears in six other modules and which catches more of this curriculum's failures than any other single habit.

3. The Mechanism

What a bar produces

More than most bars recognize.

Juices, syrups, cordials, infusions, tinctures, batches, cut garnish, and any prepped mixer.

All of it is food production, and all of it carries labeling, dating, shelf-life, and temperature obligations.

Labeling

Every container: contents, production date, and where relevant the dilution status, per Module 43.

The dilution status is the one bars omit and it is the one that prevents the double-dilution failure — a strip of tape that says pre-diluted, pour over ice, do not shake.

And "everyone knows what that is" is not a label. A container's contents are known to whoever made it and to nobody on the next shift.

Shelf life derivation

Per Module 14, four preservation levers: acid, sugar, alcohol, and cold.

A shelf life is derived from which of those are present and how strongly.

Low acid, moderate sugar, no alcohol, held cold: short. High sugar or added alcohol: longer.

Which makes it a calculation rather than a guess — and the local health authority governs where its requirements apply.

And any process relying on acid or water activity for preservation may require documented validation before production.

Production planning against velocity

A batch sized to the vessel is sized wrong, per the kitchen's Module 42.

Size to the shelf life and the velocity. A syrup with a two-week life in a bar that uses a quart a month should be made in smaller batches more often — which costs labor and saves product.

And the calculation is the same one Modules 25, 28, and 30 keep arriving at: format matched to velocity.

Rotation

First in, first out, and it requires dating to be possible at all.

An undated shelf cannot be rotated, which is why labeling is upstream of every other control in this module.

The three-minute open check

The module's highest-value practice.

Every juice, every syrup, the vermouth, and the by-the-glass wine. Tasted, at open, every day.

Three minutes, and it catches:

Juice past its curve, per Module 42. Syrup contamination, per Module 11. Oxidized vermouth, per Modules 14 and 25 — the highest-yield four seconds in the curriculum. Heat-damaged or oxidized wine, per Module 28.

Which is four of the bar's most persistent quality failures caught before service by one habit.

Sanitation of production surfaces and tools

A bar's prep area is a food prep area — surfaces, cutting boards, tools, and containers all carry the same requirements as a kitchen's.

And the wash-versus-sanitize distinction matters, per the kitchen's Module 51: sanitizer addresses pathogens and does not address allergenic protein.

Quality control as a schedule

Complaint-driven QC means the guests found it first.

The open check is the daily layer. A scheduled calibration against a reference is the weekly or monthly layer, per Module 56 and Module 15.

4. The Variables You Control

Set directly: labeling standard, dating, shelf-life determination, batch size against velocity, rotation, whether the open check happens, sanitation of prep surfaces.

Observed and responded to: what the open check finds; which containers are undated.

6. The Sensory Standard

The standard here is the open check itself, and the individual product standards live in Modules 11, 14, 28, and 42.

A correct open check. Four categories tasted, at service temperature where relevant, against a known reference for anything doubtful. Three minutes.

What almost-right presents as

A labeled container missing its date. Contents known, age unknown. Nobody can make a decision about it, which means it will either be used past its life or discarded early.

An open check that is a look rather than a taste. Appearance tells you almost nothing about oxidized vermouth, faded juice, or a heat-damaged wine. A visual check is not the check.

A shelf life assumed from habit. It is probably approximately right and nobody can defend it.

What each failure presents as

Unlabeled container: unknown contents, unknown age. Discard.

Shelf life assumed: product used past its life or discarded early, both costly.

Batch sized to the vessel: the last portion consistently declining.

Rotation impossible: old product in front, discovered as spoilage.

Open check skipped: four categories of failure reaching guests.

7. The Worked Example

The situation. Several containers on the prep shelf and in the cooler. No contents, no dates. Everyone on the current shift knows what they are.

Two problems and they are different in kind.

The compliance problem. Bar prep is held to the same standard as kitchen prep at inspection, and an unlabeled container of house-produced product is a finding. That is straightforward and it is not the interesting half.

The operational problem is the one worth working.

A container with no date is a container of unknown age, which means nobody can make a decision about it.

And there are only two things anyone can do with an undated container, both of them wrong.

Use it, on the assumption that it is probably fine — which is a guess, and it is the guess that puts a fermenting syrup into a drink.

Or discard it, on the assumption that it might not be — which throws away product that was probably good.

Neither is a decision. Both are coin flips, and the labeling is what converts a coin flip into a decision.

And "everyone knows what that is" is a shift-specific fact. The contents are known to whoever made it and to nobody on the next shift — which means the knowledge disappears with a schedule change, and this is the same structural failure as the kitchen's undocumented pit procedure in Module 53.

What to build.

10. Volume Pressure

The open check happens before service, so volume does not pressure it directly.

What volume does pressure is the labeling — a batch made in a hurry gets an unlabeled container.

What cannot flex: the label. It takes four seconds and it is the difference between a decision and a coin flip.

11. The Diagnostic

12. The Practice Protocol

Exercise one: date everything on the prep shelf today.

Exercise two: the three-minute open check. Every day, for a month. Record what it finds.

Exercise three: derive one shelf life from composition rather than habit.

Exercise four: audit batch sizes against velocity. Anything whose last portion is consistently worse is sized wrong.

Exercise five: pick five containers at random and ask a bartender from another shift what is in them.

What to expect. Exercise two produces a list of catches within the first week, and that list is the argument for the habit.

What this cannot teach. Nothing here is a skill. This module is labels and a schedule, which is why its failures are so preventable.

14. What This Does Not Qualify You To Do
