Event Break-Even Calculator
Calculate break-even attendance, sales, profit, and required cover charge.
Illustrated step-by-step guide · Calculator
How to use this tool
Find the attendance and cover-charge target before committing to event costs.
Why use it
Use this before approving an artist guarantee, setting a cover charge, or deciding whether an expected crowd can support the night.
It turns cost and guest-spending assumptions into a break-even attendance target and a projected profit or loss.
Have these ready
- Total fixed event costs
- Planned cover charge
- Expected average bar spend per guest
- Variable cost per guest
- Expected attendance
Follow these steps
1 Enter event costs
Add the artist, production, marketing, security, and other fixed costs that do not change with attendance.
2 Add per-guest assumptions
Enter expected cover, bar spend, and the variable cost created by each additional guest.
3 Enter expected attendance
Use a realistic attendance estimate rather than the room’s legal capacity.
4 Read the live result
Review break-even attendance, expected profit or loss, contribution per guest, and required cover.
5 Test another scenario
Change one assumption at a time to compare a different cover, attendance estimate, or cost structure.
6 Save the work
Wait for “Saved locally,” then use Save document copy for a portable file or Create document / Save PDF for the polished print view.
Everything this tool can do
- Calculate contribution per guest from cover charge, average bar spend, and variable cost
- Calculate the attendance needed to cover fixed event costs
- Estimate profit or loss at the attendance entered
- Calculate the cover charge required at the attendance entered
- Recalculate immediately whenever an assumption changes
- Keep a private browser draft and create a completed document or PDF
- Reopen the saved field entries on the same browser and device, then review or regenerate the finished result
Common mistakes to avoid
- Using total sales as if they were profit.
- Leaving variable guest costs at zero when they are real.
- Using room capacity instead of a defensible attendance forecast.
- Treating the result as a guarantee rather than a planning scenario.
How saving, reopening, exporting, and printing work
Reopen this tool on the same browser and device through Saved Work. Browser drafts are not automatically synchronized to another phone or computer.
Removes or resets working entries. Save, export, copy, or print the current work before using this control.
Opens the polished print workflow. In the browser print window, choose Save as PDF or select a printer.
Creates a separate portable completed copy through the browser or device save workflow. The exported copy will not update when the browser draft changes.
Tool-specific note: Entries save automatically in this browser after you change a field. Reopen this same tool on this same browser to continue. “Create document / Save PDF” opens the polished print view. “Save document copy” creates a portable completed HTML document. A browser draft is not the same as a downloaded document.
What the browser draft keeps: the entries in the tool fields. A generated calculation, preview, copied summary, exported file, or PDF is a separate result and may need to be reviewed or regenerated after reopening.
After reopening: review the restored fields, confirm dates and assumptions are still current, and regenerate or recheck the finished result before using it.
Browser-local drafts remain on this browser and device unless a separate synchronization feature explicitly says otherwise. Do not place sensitive or confidential information in a shared browser.
