These tools help workers slow down enough to record facts, responsibilities, and next actions. They should never be mistaken for an emergency response plan, legal document, regulatory determination, or professional safety assessment.
Before opening a tool
- Address immediate danger first and use emergency services or the venue’s approved response procedures when necessary.
- Identify who has authority to speak, decide, preserve records, or contact insurers and counsel.
- Record observable facts separately from assumptions and conclusions.
- Protect personal, medical, employee, customer, and investigative information.
Working method
Complete the work in five phases
Stabilize the situation
Use the approved emergency or operating procedure before beginning documentation. A form must not delay necessary action.
Capture facts
Record who, what, when, where, observable conditions, witnesses, actions taken, and the source of each statement.
Limit distribution
Share records and holding language only with people who have a legitimate role. Avoid public speculation.
Escalate correctly
Identify when management, emergency services, law enforcement, insurer, attorney, regulator, or qualified professional review is required.
Close the loop
Record follow-up, corrections, retained evidence, policy changes, and the final authorized version.
Quality check before use
- Facts and opinions are visibly separated.
- Times, names, locations, and actions are recorded promptly.
- Sensitive information is not placed in a shared browser.
- Public language does not speculate or assign unverified blame.
- The record states who reviewed and approved it.
Save, print, and control the record
Review restored browser fields before relying on them. Confirm dates and assumptions are still current, then create the finished print, PDF, copied summary, or portable document. Put the date, preparer, approver, status, and revision on records that will guide other people. A browser draft and a finished exported record are separate versions.
Do not place confidential, medical, payment-card, protected employee, investigative, or other sensitive information in a shared browser. Delete local working data when the record has been safely retained elsewhere and the browser copy is no longer needed.
