Illustrated step-by-step guide · Timeline planner
How to use this tool
Put load-in, soundcheck, doors, sets, curfew, settlement, and production notes into one shared timeline.
Why use it
Use this after the artist advance is substantially confirmed and before the team briefing.
A shared sequence reduces missed handoffs, timing conflicts, unplanned overtime, and settlement confusion.
Have these ready
- Artist advance
- Venue curfew and operating limits
- Load-in and soundcheck requirements
- Support and headliner set times
- Settlement timing and responsible people
- Parking, credentials, hospitality, and load-out notes
Follow these steps
1 Name the event
Use a title that staff, artist representatives, and production personnel will recognize.
2 Enter the anchor times
Start with immovable limits such as curfew, doors, or a contracted set time.
3 Work backward and forward
Add load-in, soundcheck, support, and settlement around the anchor times.
4 Add production notes
Record parking, credentials, hospitality, stage access, load-out, and any owner for a critical task.
5 Check the live timeline
Look for impossible overlaps, missing transition time, or settlement scheduled after the responsible people leave.
6 Save and distribute
Wait for “Saved locally,” then save a document copy or create the polished PDF/print version for the working team.
Everything this tool can do
- Record the event name and major show-day milestones
- Sequence load-in, soundcheck, doors, support, headliner, curfew, and settlement
- Capture production, parking, credentials, hospitality, and load-out notes
- Build a live printable timeline as times change
- Keep a local browser draft and create a completed document or PDF
- Reopen the saved field entries on the same browser and device, then review or regenerate the finished result
Common mistakes to avoid
- Building the schedule around preferences instead of contractual or legal limits.
- Leaving no transition time between sets.
- Omitting settlement and load-out.
- Distributing multiple versions without an approval date or owner.
How saving, reopening, exporting, and printing work
Reopen this tool on the same browser and device through Saved Work. Browser drafts are not automatically synchronized to another phone or computer.
Removes or resets working entries. Save, export, copy, or print the current work before using this control.
Opens the polished print workflow. In the browser print window, choose Save as PDF or select a printer.
Creates a separate portable completed copy through the browser or device save workflow. The exported copy will not update when the browser draft changes.
Tool-specific note: Every change saves locally in this browser. Reopen this tool on the same device to continue. The document controls create the approved version for PDF, printing, or a portable HTML copy. Name the event clearly so the saved document is easy to identify.
What the browser draft keeps: the entries in the tool fields. A generated calculation, preview, copied summary, exported file, or PDF is a separate result and may need to be reviewed or regenerated after reopening.
After reopening: review the restored fields, confirm dates and assumptions are still current, and regenerate or recheck the finished result before using it.
Browser-local drafts remain on this browser and device unless a separate synchronization feature explicitly says otherwise. Do not place sensitive or confidential information in a shared browser.
